Description
The Class Schedule Dashboard offers a summary of University classes, including information on number and frequency of offerings, enrollment capacity, waitlist capacity, and assigned instructors so that users can analyze trends in class demand and instructor load.
The dashboard does not include cancelled classes and College in High School classes. If you need to see cancelled classes, please create a report using Cancelled Classes data source, located in the Tableau folder named *Student
Key Business Questions
The Class Schedule Dashboard allows users to generate lists of historical class offerings and associated characteristics and metrics, such as enrollment capacity, instructor(s), meeting patterns, and accompanying labs or recitations. It can be used to answer questions such as:
What Accounting undergraduate classes are offered in the Fall 2023?
What classes are offered by School of Education?
How many students are enrolled in my classes? How full are classes compared to enrollment capacity?
Which classes are listed as online classes?
Which classes have less than 50% enrollment capacity?
What are the meeting days/times for my classes?
Which instructors have the highest/lowest course loads last semester?
Basic Usage
The Class Schedule Dashboard contains three different tabs:
Class Schedule
This dashboard provides a breakdown of classes (excluding College in High School and cancelled classes) listed in Peoplesoft for the Academic Term selected and aggregate enrollment by class characteristics. Use the drop-down filters in the first row to select a specific set of classes. Filter settings can be saved using a custom view.
Class counts treat every class component and combined class instance as a separate class. So, for example, the class CS 1510/2012, which includes one lecture and one recitation, is counted as four classes (CS1510 Lecture, CS1510 Recitation, CS2012 Lecture, and CS2012 Recitation). In the table at the bottom of the dashboard, classes may appear multiple times for courses with multiple instructors, textbooks, and unique meeting patterns.
We strongly recommend applying at least one of the filters to optimize performance. You can reset the filters by clicking the Revert button in the top left part of the browsers window (see screenshot).
Instructor Load
This dashboard is split into two parts: the top half of the dashboard summarizes the profile of University instructors; and the bottom half allows users to zoom-in and view details of a specific instructor. Use the drop-down menus to summarize the breakdown of instructors for a specific term, school, or program assignment; or, to limit types of courses by grad/undergrad or lecture/seminar/recitation. To update the instructor-specific view, click on the desired instructor name from the table in the top-left section of the dashboard. The bottom half of the screen should update to show the selected instructor’s full teaching load across all Schools and Course Components and instructor's historical teaching load.
Course Instructor
This dashboard lists courses and their instructors, and basic information about instructors. The table shows a row for each instructor listed in a class offering in a term. Use the drop-down menus to select one or more Academic Terms and Schools/Offering Units (Academic Group/Academic Organization).
What is the source of this information?
The primary source of these data is the PeopleSoft Student system. This data is copied, transformed, and loaded into the data warehouse nightly, and subsequently loaded onto the Tableau Server as the Class Schedule Tableau Data Source. Data available today reflects the PeopleSoft data from one day prior. New data entered in PeopleSoft today will be reflected in the Class Schedule data source and accompanying dashboard tomorrow.
For Cognos Users: this data source is a close replica of an existing Cognos “St Class Schedule Query” package and is built from the student data mart (UD_DATA).
How do I get access?
Anyone with access to the student mart (ST) will have access to the Class Schedule Dashboard. All users can see all classes; however some instructor fields are restricted.
To request access to the Student Mart, please fill out Student Mart Federated Authorization form. Please visit the Student Mart Security page for a summary of the Student Mart security principals, or the Federated Authorization Community page for step-by-step instructions and FAQs about how requests are routed. Note: access to PeopleSoft is distinct from Student Mart and requires a separate request.
Special permission is required to see restricted fields: performance indicators, student demographics, student identifiers, and instructor demographics.
