Tableau Project Management for Project Leaders

As usage on Tableau Server expands, Pitt IT Analytics is empowering Responsibility Centers to manage membership and access to their folders. On this page, we describe how permissions are controlled and recommend a few tips for folder structure and management.

Projects on Tableau Server

To share Tableau Server Content (which includes Workbooks, Data Sources, and Projects) that content must be published within a Project (folder) on Tableau Server.

If you are not an RC Project Leader, please contact your RC’s Project Leader or Owner for questions regarding permissions and creating Project sub-folders.

Before creating a sub-folder, consider the folder structure and related access needs. Our recommendation is to create main sub-folders by category (department, data type, or production/sandbox), and then split them further into necessary sub-groupings.

This nested Project sub-folders example is structured first by “Production” and “Sandbox”, then data type, then department.

Regardless of the sub-folder level where the “production” and “sandbox” spaces falls this separation is strongly encouraged because it ensures that end users always have access to reliable, finished content in Production, while giving authors the freedom to develop and refine their work in the Sandbox.

Production Folder - For finalized, tested content

  • Administrators control all permissions to prevent accidental changes

  • Provides a stable, consistent experience for all users

  • Access changes require proper approval through the RC Project Owner or Leader

Sandbox Space - For development and testing work

  • Authors have flexible permissions to create, edit, and experiment freely

  • Safe environment for experimentation without affecting other users

  • Content moves to Production only after completion and approval (if applicable)

Creating a new Project sub-folder

To create a new Project sub-folder, navigate to your top-level Project. Directly under the folder name, click the “New” button and select Project. Enter the sub-folder details and click “Create”.

Granting Access to Project sub-folders

Once you create a new sub-folder, you can then grant administrative rights to others (so that you do not have to manage their folders), by making them Project Owner or Project Leaders.

Alternatively, you can “Permissions” if you want to still be the owner. but would like to grant others permission to be an administrator (Project Leader), publisher, or viewer of the folder. You can even set a CDS group as a Project Leader.

We strongly recommend the use of Central Directory Service (CDS) groups to grant permissions on the Tableau Server. If you are already using this group in other places, we can add it to Tableau to ensure a more consistent experience.
