Description

The Class Enrollment and Grades Dashboard captures students' academic performance and class-specific enrollment details. You will find GPAs, Units (Credits) totals, Expected Graduation Term and Admit Term.

To improve the speed and performance of the dashboard, we suggest selecting your typical filters (career, school, term, etc.) and saving it as a custom view. Read more about custom views.

Users may also use the dashboard as a template to build custom versions for their specific data needs.

Students who are active, but are not taking classes in a term selected, will not appear on this dashboard. Refer to Active Student Dashboard for active student data.

The Class Enrollment and Grades data source is a university-wide enterprise resource that has students' class enrollment data sourced from the university data warehouse, which is in turn sourced from PeopleSoft. You can review students’ class enrollment information, academic information, performance indicators, assigned advisors, class instructors for students enrolled in a selected term.

The data source has 13 years of data, 3 terms per year, where all terms are up-to-date as of the previous business day’s data.

Key Business Questions

This dashboard can be used to answer different class enrollment-related business questions, such as:

  • Can I get a list of classes a student is enrolled in?

  • Can I get a class roster?

  • What grades have earned students historically earned in Course 'X'?

  • Which of our students have earned all letter grades above a 'C' this term?

  • How has this student performed over multiple terms?

  • What is the grade distribution for Course 'X' this term? In previous terms?

  • Can I get a mailing list for instructors with unapproved grade rosters?

  • Can I get a mailing list of students with incomplete grades older than one term?

  • Which students are missing grades? And have they applied to graduate?

Creating custom dashboards based on the data source will help answer grade and enrollment-related questions, such as:

  • Which students qualify for our Dean’s List?

  • Which students have downward (or upward) trends in their academic performance?

  • What is the trend for grade distributions in our core curriculum?

  • Which schools and majors have interest in our courses?

  • Can I identify our undeclared students who have successfully completed the foundation courses for Major 'X'?

  • Which classes are being frequently repeated by individual students?

  • Can I find DFW grade trends?

Basic Usage

The Class Enrollment and Grades dashboard has four separate tabs, which can be accessed from the top of the view:

Student Enrollment and Grades

This dashboard provides a list of classes students are enrolled into. Filter settings can be saved using a custom view.

The Academic Term filter will return students enrolled in the Academic Term selected. The data shown is the most recent data as of a prior business day.

We strongly recommend applying at least one of the filters to optimize performance.

You can reset the filters by clicking on a Revert button.

 

 

 

Current GPA will be 0 for term currently in session and the future terms; current GPA will have data after a term is over and grades are processed.

Class Roster and Grades

This dashboard provides a list of students enrolled into a specific class, along with instructor information. The middle chart, Grade Distribution, will show data only for users who have Student Mart restricted access granted (for information about access, see the section on data access). The data captures students as of yesterday.

The “Students Enrolled” visualization can be expanded to show students enrolled in a Class Number. Click on the sign that appears when hover over the “Class” heading. Click on the sign next to “Class” to collapse back.

Incomplete Grades (G or I)

This dashboard allows to find students with incomplete grades (G or I) and their corresponding classes, instructors, and other class-related information.

Unapproved Grade Rosters

This dashboard shows a list of classes, along with instructor information, for which grades were not approved yet (grading approval status code not ‘APPR’).

What is the source of this information?

The primary source of these data is the PeopleSoft Student system. This data is copied, transformed, and loaded into the data warehouse nightly, and subsequently loaded onto the Tableau Server as the Student Enrollment and Tuition Data Source. Data available today reflects yesterday’s PeopleSoft data. New data entered in PeopleSoft today will be in student mart, data source, and dashboard tomorrow.

For Cognos Users: this data source is an expansion of the existing Cognos “St Class Enrollment Query Pkg” package and is built from the student data mart (UD_DATA).

How do I get access?

Anyone with access to Student Mart (ST) will have access to the Class Enrollment and Grades dashboard. Users will only see their RC, unless otherwise approved on their Federated Authorization form.
