Collections on Alteryx Server
Collections are a great way to organize Workflows and Schedules that address similar needs together on Alteryx Server. You may have noticed that Alteryx Server’s Web UI search and sort abilities leave much to be desired. Annoying searches can be avoided by using Collections.
Collections are also useful because they allow you to share workflows with people who are not in your Private Studio. Note: Alteryx has made it known that at some point in the future, Alteryx Server will no longer have Private Studios. Start moving your workflows and scheduled to Collections now!
View Your Collections
Click on ‘Collections' on the left panel of the Alteryx Web UI.
You’ll see the list of Collections you have access to, whether you’ve created them or they’ve been shared with you.
Create a New Collection
On your Collections page, click ‘+ New’ at the top right.
Note: Your Alteryx Server user account must be given permission to create collections. If you do not see the ‘+ New’ button, open a case with the 24/7 IT Help Desk.
Name your Collection
The collection name will always default to the timestamp, but you can (and should) change it.
Add Elements
While on the workflow Tab, you can click ‘+ Add’ to the far left to add a workflow to the Collection. Clicking in the search bar will only search workflows already added to the Collection.
You will need to start typing in a workflow name for options to appear:
Schedules can be added to the Collection in the same manner.
Adding Users
Click on the User tab in your Collection, and click +Add.
Again, you will need to begin trying in a name to see users you can select. Note: not all Pitt employees are added to Alteryx Server. If you need someone added to server so they can kick off a workflow or run an Analytics App, submit a case with the 24/7 IT Help Desk.
You have the option to give a user temporary access to the collection by using an expiration date.
Admin will fix all options on this window to ‘Yes.’
Add/Remove/Update Assets will allow the user to make changes to which workflows and schedules are included the Collection.
Add/Remove Users will allow the user to add and remove users for the Collection.
